Privacy Policy

EarlyReady is built for Australian early childhood education, where the people involved are children. Our default is to never require identifiable child data. Educators are encouraged to refer to children as 'the child', by initials, or by a non-identifying room reference rather than full names. You can use the entire platform without ever entering a child's full name, date of birth, or other directly identifying details.

Some features use AI (powered by Claude Opus 4.8) to help with planning, observations and documentation. Every AI request includes a mandatory safety preamble that prohibits fabricating observations, inventing quotes, or providing medical, legal or regulatory advice. AI output is always a draft for the educator's professional judgement — never a substitute for it. We do not use child data to train third-party models.

Account data: your name, email and role. Service data: the records you create — observations, care logs, programs, compliance entries and similar. Optional data: if you choose to enter it, child references (we recommend non-identifying), family contact details for the family portal, and staff names. We do not collect biometric or location data from children.

To provide the planning, documentation, care, compliance and operations tools you use day-to-day; to generate AI drafts when you request them; to enable family portal sharing where you opt in; and to keep the service secure and reliable. We never sell data, and we never share it for advertising.

Data is stored on secured infrastructure with encryption in transit and at rest. Access is restricted to authorised personnel and only to operate and support the service. Each educator and centre only sees their own records; row-level security keeps one service's data separate from another's.

Records are never shared with third parties except where required by law. The family portal is opt-in: you choose which daily reports, observations and photos are shared with a linked family member, and families only see what you share with them. Family members cannot see other children or other families' data.

You can delete any record at any time. When you close your account, your data is removed within 30 days unless a legal retention obligation applies. Centre-tier administrators can export or delete their service's data at any time.

You can view, edit, export or delete your data at any time from within the app. Families linked via the family portal can request access to, or deletion of, shared records through their service. For access, correction or deletion requests, contact your service or us directly.

EarlyReady is designed with awareness of the Australian Privacy Principles, the Child Safe Standards and ACECQA guidance on record-keeping. This policy is general information, not legal advice. Services remain responsible for their own privacy obligations and for how they choose to record child information.
